Privacy policy

This policy explains how Swiss Digital (“we”) handles personal data when you use the Onhand chat widget or visit onhandagent.com.

If a business embeds Onhand on their own website, that business is usually the controller of the chat. We process those messages to run the service for them. Their privacy policy may also apply.

What we collect

• Chat messages you send and the assistant’s replies — the transcript is stored so the business can answer questions and improve support quality.
• Technical data: IP address, approximate country, and a random session id (so the conversation can continue). IP addresses are stored to answer questions, prevent abuse, and improve support quality.
• Your email and message, collected only when you submit the ticket form to talk to a person.
• Optional ratings (helpful / not helpful) on answers.
• On your device only: session id, recent chats, and whether you dismissed the privacy notice (browser storage, not advertising cookies).

The public site and widget do not use tracking or advertising cookies. The operator login pages use a session cookie so you stay signed in.

Why we use it

• To answer your questions and keep the thread together.
• So the business that owns the assistant can read conversations, handle tickets, and improve answers.
• To measure quality, stop abuse, and apply rate limits.

Who sees it

• The team that owns the bot (inbox and reports in the Onhand portal).
• Cloudflare — hosting, database storage (Cloudflare D1), and security.
• OpenRouter — model inference; your message is sent so a reply can be generated.
• MailChannels or Resend — email delivery, only when a support ticket is forwarded by email.

Cloudflare, OpenRouter, and the email provider act as our subprocessors and process personal data only on our instructions.

We do not sell your personal data.

How long we keep it

Chat transcripts, visitor email addresses, and ticket content are deleted automatically once they are older than the retention window (RETENTION_DAYS, default 180 days). The bot owner can also delete an individual conversation at any time from the Onhand portal or admin, without waiting for the automatic cleanup.

We keep data longer only where a legal obligation requires it.

Your rights

Depending on where you live, you may ask to access, correct, delete, or export your data, or to restrict or object to certain processing. You may also complain to a data-protection authority.

For access or deletion requests, write to privacy@swissdigital.io or use swissdigital.io/contact. If you chatted on another company’s site, contact that company as well — they control those records.

Children

Onhand is not directed at children under 16.

Transfers

Cloudflare and model providers may process data in the EU, the United States, or other countries. We rely on their published safeguards (including standard contractual clauses where required).

Changes

We will update this page when the practice changes. The date at the top is the latest version.

• Vetëm në pajisjen tuaj: identiteti i seancës, bisedat e fundit dhe nëse e keni mbyllur njoftimin e privatësisë (ruajtje e shfletuesit, jo cookie reklamash).

Sajti publik dhe widget-i nuk përdorin cookie gjurmimi ose reklamash. Faqet e hyrjes së operatorit përdorin një cookie seance që të qëndroni të identifikuar.

• Cloudflare — hosting, ruajtje në bazën e të dhënave (Cloudflare D1) dhe siguri.
• OpenRouter — përpunim i modelit; mesazhi juaj dërgohet që të gjenerohet një përgjigje.
• MailChannels ose Resend — dërgim email-i, vetëm nëse një tiketë supporti dërgohet me email.

Cloudflare, OpenRouter dhe ofruesi i email-it veprojnë si nënpërpunues tanë dhe i përpunojnë të dhënat personale vetëm sipas udhëzimeve tona.

Nuk i shesim të dhënat tuaja personale.

Sa kohë i mbajmë

Transkriptet e bisedave, adresat e email-it të vizitorëve dhe përmbajtja e tiketave fshihen automatikisht kur kalojnë afatin e ruajtjes (RETENTION_DAYS, parazgjedhur 180 ditë). Zotëruesi i bot-it mund të fshijë edhe një bisedë individuale në çdo moment nga portali Onhand ose admini, pa pritur fshirjen automatike.

Të dhënat i mbajmë më gjatë vetëm kur na kërkohet nga një detyrim ligjor.

Të drejtat tuaja

Sipas vendit ku jetoni, mund të kërkoni qasje, korrigjim, fshirje ose eksport të të dhënave, ose kufizim apo kundërshtim të disa përpunimeve. Mund të ankimoheni edhe te një autoritet i mbrojtjes së të dhënave.

Fëmijët

Onhand nuk është i drejtuar te fëmijë nën 16 vjeç.

Transferimet

Cloudflare dhe ofruesit e modeleve mund t’i përpunojnë të dhënat në BE, Shtetet e Bashkuara ose vende të tjera. Mbështetemi te masat e tyre të publikuara (përfshirë klauzolat standarde kontraktuale kur kërkohet).
